  2. Five numbered steps with a guide time. One, scan the inbox, about 3 minutes: WhatsApp, missed calls, voicemail and email. Two, callback list, about 2 minutes: which promises are due today? Three, appointments today and tomorrow, about 2 minutes: is the calendar correct and are they confirmed? Four, escalations, about 1 minute: who picks up complaints? Five, handoff, about 2 minutes: what is open, for whom and when.

  4. A fictional example of a handoff note. Open: a customer is waiting for a price for four tires, and Kevin calls before 10:00 AM. Appointments tomorrow: three, all confirmed, and one customer wants a reminder via WhatsApp. Escalation: a complaint about a repair, and the owner calls back today. Please note: closed tomorrow from noon to 1:00 PM, and the away message is on.

A set routine of about ten minutes a day keeps questions from being left waiting. Do it at a fixed time, for example when you open or just before closing: 1. Scan the inbox: WhatsApp, missed calls, voicemail and email. Put every new question on your list. 2. Callback list: which promises are due today, and who calls whom? 3. Today's and tomorrow's appointments: is the calendar correct, and are the appointments confirmed? 4. Escalations: which complaints or difficult questions should the owner or a specialist pick up? 5. Handoff: write down what is still open for the next shift or colleague. You need very little for it: one list of open questions, one calendar and one designated person who does the routine that day. The times per step are a guide; on busy days it takes longer.
